KEY TO NYC VACCINE MANDATE FAQ
Q: Mayor Bill de Blasio announced vaccine mandates for gyms. What will change at Asphalt Green?
A: The vaccine mandate went into effect August 17, 2021 and will be enforced by the New York City Department of Health beginning September 13, 2021. This means that all customers over 12 will be required to have at least one dose of the coronavirus to enter the facility, effective immediately. The second dose must be complete by October 18. The requirements are as follows:
- Vaccination is required for all visitors ages 12+. This includes members, participants in all indoor and outdoor programs, spectators, and parent/guardian drop-offs.
- Vaccination is required for all Asphalt Green employees.
Q: I thought sports, swim classes, and recreational activities followed a different set of rules for kids ages 12 to 18. What changed?
A: The City determined that our primary status as a gym applies to all activities at Asphalt Green. Therefore, all visitors ages 12+ must be vaccinated, including those participating in recreational activities and swim and sports programs.
Q: My child recently turned 12. When does he or she need to be vaccinated?
A: There is a 30-day grace period to get the vaccine after your child turns 12 years old. You will need to show proof of vaccination 31 days after your child’s 12th birthday.
Q: Why isn’t the mandate being enforced until September 13?
A: The vaccine mandate is in effect as of August 17, 2021. Consistent with the City, it will be fully enforced by Asphalt Green beginning September 13, 2021. During the period between August 17 and September 13, Asphalt Green will be collecting vaccination data, updating access control systems, and training staff. Unvaccinated members are no longer permitted on premises, effective immediately.
Q: How do I submit proof of vaccination?
A: Members 12+ Complete this form by September 13. On your first visit to Asphalt Green on or after September 8, present your member ID alongside your proof of vaccination to staff members located in the lobby. Acceptable forms of proof include your vaccine card, a photo of your vaccine card, Excelsior, or NYC COVID Safe app. You will receive a sticker on the back of you member ID. On future visits, simply scan in with your member ID and show your sticker.
Program participants (private lessons, classes, leagues, camps), parents, guardians, and spectators 12+ Beginning September 11, proof of vaccination is required for every visit. Upon each entry, you will need to show valid proof of vaccination alongside your program access card. Acceptable forms of proof include your vaccine card, a photo of your vaccine card, Excelsior, or NYC COVID Safe app.
Asphalt Green teams 12+ (AGUA, AGSC, travel basketball, youth and adult water polo) Participants are only required to show proof of vaccination one time. Your head coach will be in touch directly with team-specific procedures.
Visiting team players and staff 12+ are required to show proof of vaccination upon entry beginning September 13, 2021. Acceptable forms of proof include your vaccine card, a photo of your vaccine card, Excelsior, or NYC COVID Safe app. All teams, including those based outside of New York City must follow the vaccine requirement.
All other visitors 12+ are required to show proof of vaccination upon each entry. Acceptable forms of proof include your vaccine card, a photo of your vaccine card, Excelsior, or NYC COVID Safe app. Service personnel and mail and delivery drop-offs are exempt.
Q: I’m a member, why isn’t my access card working?
A: You have not completed the required documentation to verify that you are vaccinated. On August 18, 2021, all members were informed their access card would be deactivated on September 13, 2021 if they did not complete the form found here. To regain access, you can complete the form now. Please allow 24 hours for your card to be reactivated.
Q: Do I have to carry proof of vaccination while at Asphalt Green?
A: Yes, in the event of a Department of Health inspection, all visitors should be prepared to produce proof of vaccination while at our facilities.
Q: Can I test out of the vaccine requirement?
A: No. Negative tests are not permitted as an alternative for the vaccine requirement, as mandated by City guidelines.
Q: Are there any exemptions?
A: There are no exemptions for those that a required to be vaccinated. Due to the nature of Asphalt Green’s business, providing exemptions for unvaccinated individuals will put customers and staff at an unnecessary risk.
Q: Does the mandate apply if the program I am registered for is held outdoors?
A: The mandate is consistent for indoor and outdoor programs. Vaccination is required for all visitors ages 12+.
Q: I’m part of a competitive team outside of New York City. I have a game at Asphalt Green. How does the vaccine policy impact my visit?
A: If you are on a competitive team outside of Asphalt Green/New York City and are traveling to compete at our facility, you do not need to be vaccinated to enter. However, you must complete a health screening, provide contact information, and have your temperature checked before you enter. This only applies to competitive team programs.
Q: I’m not a member but plan to drop my child off or watch their program. Do I need to show proof of vaccination?
A: Yes, parents and guardians need to show proof of vaccination each time they drop their child off for a program effective September 11, 2021. Acceptable forms of proof include your vaccine card, a photo of your vaccine card, Excelsior, or NYC COVID Safe app.
Q: Due to the vaccine mandate, I no longer want to participate in a program that I am registered for. What is your refund policy?
A: All refund requests must be submitted in writing to the Registration Office. Refunds are computed from the date received (not postmarked). The program refund schedule is as follows: For 100% refund or credit, written request must be received one week prior to the first scheduled class. For 75% refund or credit, written request must be received two days prior to the second scheduled class. No refunds will be granted after the second class session.
Q: Will your mask policy change too?
A: Our mask policy remains in effect. Vaccinated members may remove their masks in the fitness center and fitness studios only. Masks are required in all other areas, including elevators, stairways, locker rooms, and lobbies. Our priority is to keep our entire community safe. Many of our visitors are children who are not yet eligible to receive the vaccine.
Q: Is Asphalt Green open?
A. The fitness centers and pools are open to members. Select programs are available in-person and online. Learn more.
Q: How do I get off of freeze?
A: If you are currently a member on freeze and would like to reactivate your membership, please email your respective campus:

Q: What changes when I get vaccinated?
A: As of June 1, 2021 Asphalt Green no longer requires those who are fully vaccinated to wear masks in the fitness center only. Masks are still required in all other shared spaces, including locker rooms, lobbies, elevators, and stairways. Those who are not vaccinated are required to wear face coverings at all times. Q: What is your travel policy?
A: Those who are fully vaccinated, meaning two weeks have passed since their final dose, may return to Asphalt Green immediately after domestic or international travel. Proof of vaccination status (photo of vaccine card or screenshot of the Excelsior Pass) must be sent to email@example.com. Kids and adults who are not vaccinated may return to Asphalt Green immediately after domestic travel if they provide a negative PCR or antigen test upon return to New York. Asphalt Green will also accept the negative test required by the CDC for international travelers three days prior to return. Without a test, unvaccinated travelers must abstain from visiting Asphalt Green for seven days. Travelers returning from Connecticut, New Jersey, Pennsylvania, Massachusetts, and Vermont and those who are unvaccinated and have recovered from COVID-19 in the past three months are exempt.
Q: Are reservations required?
A: Effective June 28, 2021, reservations are no longer required for member lap swim, fitness center, or gymnaisum use, AGUA Masters practices, and adult water polo practices. Reservation are still required for group exercise classes and can be made on a rolling basis two weeks in advance. The reservation window is open from 5am to 11pm daily.
Q: How do I make a reservation for a group exercise class?
A: Manage your bookings online or by downloading the Asphalt Green MindBody app (we recommend using the app). Here’s how to reserve time at our facility:
1. Download the Asphalt Green app (powered by MindBody) on your mobile device.
2. Open the app to log in.
3. If you have never purchased a program, create a login and password. Use the email address you provided Asphalt Green when you joined, then reset your password. If you have signed up for personal training or another fitness offering, use the same login and password.
4. Make a reservation.
You’re all set! If you need to cancel, you can do so through the app or online — no need to call.

Q: How do I log in to my Asphalt Green MindBody account?
A: If you have purchased fitness programs in the past (personal training, Pilates, etc.), use the same login that you used for those offerings. If you have never purchased a fitness program, use the email address you use for your Asphalt Green, and update your password.
Q: Can I modify or cancel a reservation?
A: You can modify or cancel your reservation through the Asphalt Green MindBody app or online. Cancellations require 24-hours' notice.
Q: What is your cancellation policy?
A: Effective April 15: If you accrue three no shows or late cancellations (within two hours of your reservation), your registration capabilities will be suspended for seven days. After seven days, you will be able to book a group exercise session. After a third no show, every subsequent no show will result in a one-week suspension. All no-shows and late cancellations will reset quarterly. Though it will only be noted if you cancel within two hours of your reservation, Asphalt Green encourages 24 hours' notice for cancellations. Please note, you must cancel online or through the Asphalt Green app.
Q: Are the locker rooms open?
A: The locker rooms will be open to change clothes, use the restroom, shower, and store your belongings. However, the steam room and sauna are unavailable. To reduce foot traffic, we recommend bringing as few belongings as possible.
Q: If I rent a locker, how can I collect my belongings?
A: If you need items from a rented locker, email firstname.lastname@example.org to schedule a time to collect your belongings.
Q: Where can I store my personal belongings?
A: The locker rooms will be open to store your belongings however. To reduce foot traffic, we recommend bringing as few belongings as possible and arrive ready to work out.
Q: Will I be able to shower at Asphalt Green?
A. Yes. However, we encourage showers to be kept under three minutes to reduce crowding in locker rooms.
Q: Will saunas and steam rooms be available?
A: At this time, the steam room and sauna are unavailable.
Q: Does lap swim include deep water running?
A: Yes, you may do your choice of exercise in your assigned lane. If you choose to do deep water running, you must bring your own gear. Please note that the pool is configured for lap swim, so deep water runners may need to adjust accordingly.
Q: When are water exercise classes coming back?
A: Water exercise classes returned September 11, 2021.
Q: Can I take more than one class in a day?
A: Yes, you can register for multiple classes in a single day.
Q: How many people are allowed in a class?
A: Class sizes vary depending on the studio size. The maximum class size is between eight and 14 people.
Q: Is the gymnasium in Battery Park City open for recreation time?
A: The gymnasium is open for member recreation as of November 1, 2020.
Q: Why are the windows in the fitness center and group exercise studios closed?
A: Our upgraded air filtration system, CASPR (Continuous Air and Surface Pathogen Reduction), functions best with the windows closed. CASPR is the same system that services general surgery units in hospitals. Opening the windows reduces its efficiency. It’s more effective to control the environment with the windows closed.
Q: Can I drop-in or bring a guest?
A: Only members are permitted to use the facility at this time. Guests and drop-ins are not permitted until further notice. Nonmembers may purchase individual group exercise classes.
Q: What is your lost and found policy?
A: Valuables (keys, jewelry, phone, wallet, glasses, etc.) are kept for up to three months. Swimsuits are kept for up to 72 hours. Non-valuables (water bottles, swim caps, goggles, clothing, etc.) are kept until the end of business day.
Q: Can I watch my child practice?
A: Spectator access is limited and varies by program. Details will be communicated to all registrants by the program's manager.
Q: What is the cancellation policy for missed programs & classes?
A: The value paid for any programs/classes that were cancelled as a result of COVID-19 will be honored in full. In accordance with our cancellation policy (below), Asphalt Green will make every effort to schedule make-up sessions for missed classes. In the event that make-up classes cannot be issued, a credit for the prorated value of your remaining classes will be issued to your Asphalt Green account. This credit will be valid for use on purchases made until one year from the computed date, and can be applied to any class or program at Asphalt Green. It is not transferable or refundable.
PROGRAM CANCELLATION AND MAKEUP POLICY: If Asphalt Green cancels a class due to an unforeseen, uncontrollable circumstance (i.e. pool closure) a makeup class will be offered. In the event a makeup cannot be arranged, a credit will be issued upon request. View our complete list of policies here.
Q: What is the timing for credits?
A: While we are honoring each program’s full terms and conditions, please be patient that there may be a significant delay in administering transactions due to limited availability to personnel and systems. All make-up classes and credits will be assessed and administered once Asphalt Green has reopened and resumed programs. Any refunds due, as per Asphalt Green's standard terms and conditions, will also be issued once the organization is fully operational. We appreciate your patience.
Q: If my child is on a competitive team (AGUA, AGSC, etc.), what will their experience be?
A: For all competitive team updates, please contact your child's program head directly.
Q: Who should I contact if I have questions?

Q: How can I stay active if I'm not ready to come to the facilities?
A: We are offering virtual personal training through Zoom. Plus, follow us on all of our social media channels (Instagram, Facebook, and Twitter) for workouts you can do without equipment and at-home fitness tips.
Q: How can I reduce my risk of becoming sick?
A: Wash your hands with soap for at least 20 seconds, avoid touching your face, stay home if you are not feeling well, and practice social distancing.
